Adding events to All In helps audiences find clear accessibility information alongside what's on.
This helps people decide not only what they would like to attend, but also whether an event is suitable for their access requirements.
You can save events as drafts while you're working on them, update them at any time, and choose when they are published.
Important
We recommend adding all of your events to All In, not just access-focused events such as relaxed performances, captioned performances or BSL-interpreted performances.
Every event has aspects of accessibility that may be important to audiences when deciding whether to attend.
Ways to add events
There are two ways to add events to All In:
- Add events manually: Create and manage events directly within All In.
- Import events from your ticketing system: Import event information from your ticketing system.
Add events manually
Before you start
Before creating an event, make sure you have:
- The event name
- An event image
- Event dates and times
- Ticket prices
- A booking link
- Details of any event-specific accessibility information
Create an event
- Sign in to your All In Account.
- Select Manage this Organisation.
- In the Organisation manager menu, select Manage events.
- Select Add event manually at the bottom of the page.
You can now start entering your event details.
Add your event details
You will be asked to provide information, including:
- Event name
- Event image
- Event location
- Artform
- Event format (in person, online or hybrid)
- Event description
- Dates and times
- Ticket prices
- Booking link
- A published All In Location Profile for the event, or a link to the venue's accessibility information.
- The Zone where the event takes place, if applicable
- Language (English or Welsh)
For guidance on events that take place outside your Organisation, see Create a touring event at another location.
Add accessibility information
You can also add accessibility information specifically for the event.
This is important because accessibility can vary between events, even when they take place in the same location.
For example:
- One performance may include captions.
- Another may include BSL interpretation.
- Another may be a relaxed performance.
Adding event-specific accessibility information helps audiences find events that meet their access requirements.
The information you provide also helps Members to filter events based on their accessibility needs.
Save, publish or unpublish an event
You can:
- Save an event as a draft while you are still working on it.
- Publish an event when you are ready.
- Unpublish an event at any time if information needs updating or the event is no longer relevant.
Once published, your event will appear in All In listings, and audiences will be able to access the information you've provided.
Events will automatically be archived when the event date has passed.
Import events from your ticketing system
This feature is currently being developed and will be available soon.
Once available, you'll be able to import event information directly from supported ticketing systems rather than creating events manually.
We'll share more information as soon as this feature becomes available.
