If you tour to venues outside of your organisation, you can create events and provide audiences with access information about the venue.
The touring event tool allows you to link an event to:
- An existing All In location.
- A venue that is not yet part of All In.
This helps audiences access venue accessibility information when planning their visit.
Before you start
Before creating a touring event, make sure you have:
- The name of the venue where the event will take place.
- A link to the venue's accessibility information, if the venue is not yet part of All In.
Important
We recommend adding all of your events to All In, not just access-focused events such as relaxed performances, captioned performances or BSL-interpreted events.
Every event has aspects of accessibility that may be important to audiences when deciding whether to attend.
Adding all of your events helps disabled audiences find the information they need and make informed decisions about their visit.
To learn more, see Add Events.
Create a touring event
- Sign in to your All In Account.
- Go to your Organisation's dashboard.
- Select Manage events from the right-hand menu.
- Select Add an event manually.
- Enter the event name.
Choose the event format
When creating a new event, the format will default to In person.
If your event format is set to In person, you can only select one of your Organisation's Locations.
If the event is part of a tour, change the event format to On tour.
The Location field will now change to allow you to :
- search for other Locations within All In.
- add a placeholder if the Location is not yet part of All In.
Select a touring Location
If the venue is already part of All In
- Search for the name of the Location.
- Review the search results.
- Select the correct location.
The All In Location Access Profile will be linked to your event.
Important
Search for the Location name, not the Organisation name.
For example, if you're touring to Opera North, you would search for Howard Assembly Room or Howard Opera Centre, rather than Opera North.
The touring location search only returns Locations that have been added to All In.
The selected Location will be linked to your event.
If the venue is not part of All In
If your search does not return any results, the Location is not part of All In.
You will need to add a placeholder location to the event.
- Select I can't find the location.
- Enter the venue's name.
- Add a link to the venue's accessibility information page.
This creates a temporary placeholder location for the event.
Why add a placeholder location?
Some venues you tour to may not yet have an All In Location Access Profile.
Adding a placeholder location allows audiences to:
- Find your event in All In listings when searching for the venue's name.
- Access the venue's accessibility information to prepare for their visit.
When viewing the event, audiences will be directed to the accessibility information you have provided.
The placeholder can be used until the venue joins All In and creates its own Location Access Profile.

Once you have selected or created a touring location:
- Complete the remaining event information.
